Okay, some people may think that this is a weird place to ask this, but with so many diverse people in here then someone may be able to help.

I attended a personal improvement meeting as an independent observer for a colleague. The meeting was generally positive, 4 out of 6 targets completely met with good praise, and the other 2 partially met with a little polishing required to get everything achieved and on track.

I was shown the minutes of the meeting today (3 weeks later) to sign as the observer. The minutes did not reflect the meeting and concentrated solely on a few negatives. Over an hour meeting that was condensed into 3 pages. Verbatim questions from those asking them but only one word or one sentence responses recorded.

I don't want to sign the document as it isn't what happened so I don't think it is fair on the colleague.

Is there a recourse to the minutes to comment on them?

Two learnings from this:

- take a dictaphone in future

- don't be so nice and helpful to people that they want you to accompany them

- don't be so nice and helpful to people that they want you to accompany them"

If you don’t agree, don’t sign. It really is that simple. Just be polite and explain why you are not prepared to sign.

The whole purpose of having a witness is to ensure fair play. It seems to have payed off for your colleague in this instance.

If you don't agree, don't sign them and make amendments or state why you disagree. Your colleague will have also been asked to sign a set of minutes so have they refused to sign?

In addition to the minutes taken is there a performance review tracker that shows your colleagues targets, those that have been met and those still waiting to be hit?

If you don't agree with the minutes you aren't obliged to sign them. It's best to put in writing your reasons for this though and that should be kept with the notes from the meeting x

Disciplinaries, rarely go any other way...... my advice would be don't get involved unless you really don't like your job.....

The procedure should be that you update the notes using Microsoft tracked changes with your edits and send this back to the HR Business Partner. The department will usually agree to save this version on file.

Also does the person you’re supporting have more than two years service as if they don’t they are unable to claim unfair dismissal at tribunal if they do get the sack?

It’s important that the notes are a true representation as they could be used as evidence.

Hi guy the way it's goes is you would only put your name to somthing you believe to be a true reflection of the fact.

You should always look over all notes at the time of the (in the meeting) before you leave.

If in short hand you can have it read out .

Notes are notes and will always be some difference to the spoken word.

I've refused to sign many minutes in my time. In my experience my recollection is rarely the same as the minute taker and the chair. Sometimes they would change them and sometimes they wouldn't but I didn't ever sign the ones I didn't agree with.

I also worked for a woman who was incredibly negative when it came to appraisals, she put a negative spin on everything. I think she must have got really fed up with me refusing to sign mine off

It is characteristic of all committee discussions and decisions that every member has a vivid recollection of them and that every member's recollection of them differs violently from every other member's recollection. Consequently we accept the convention that the official decisions are those and only those which have officially recorded in the minutes by the officials, from which it emerges with an elegant inevitability that any decision which has been officially reached will have been officially recorded in the minutes by the officials and any decision which is not recorded in the minutes has not been officially reached even if one or more members believe they can recollect it, so in this particular case if the decision had been officially reached it would have been officially recorded in the minutes by the officials. And it isn't so it wasn't.

Did you take any notes at the meeting?

Why wouldn't you help someone next time? This proves why having you there as an independent observer was helpful to your colleague.

I wouldn't sign it if it's not true.

Consequently we accept the convention that the official decisions are those and only those which have officially recorded in the minutes by the officials, from which it emerges with an elegant inevitability that any decision which has been officially reached will have been officially recorded in the minutes by the officials and any decision which is not recorded in the minutes has not been officially reached even if one or more members believe they can recollect it, so in this particular case if the decision had been officially reached it would have been officially recorded in the minutes by the officials. And it isn't so it wasn't.
